Tasks lets you manage goals, habits, and to-dos directly inside FocusMe. Unlike a standalone task app, your tasks feed into the AI Coach — connecting what you want to accomplish with how you’re actually spending your time.

Creating a Task

Click Add Task to create a new task. Each task has:
PropertyDescription
TitleWhat you need to do (required)
DescriptionOptional details, up to 5000 characters
PriorityHigh (red), Medium (orange), or Low (green) — click the coloured dot to change
CategoryOrganise tasks into groups with colour coding (default: “General”)
Due DateOptional deadline with calendar picker. Can be all-day or include a specific time
Start TimeOptional. For scheduled tasks or to set the reset time for recurring tasks
RecurrenceHow often the task repeats (see Recurring Tasks)

Status

Tasks have three states that cycle when you click the checkbox: Not StartedIn ProgressCompletedNot Started When a task is In Progress, a progress slider appears. Drag it to adjust in 5% increments.

Recurring Tasks

Recurring tasks automatically reset after completion, making them ideal for habits and routines.
RecurrenceWhen it resets
DailyEvery day
WeekdaysMonday through Friday
WeekendsSaturday and Sunday
WeeklySame day each week (based on creation day)
MonthlySame date each month
CustomSpecific days you choose (e.g., Mon/Wed/Fri)
When you complete a recurring task, FocusMe records the completion and resets the task to “Not Started” at the configured time. If you set a start time, the task resets at that time. Otherwise, it resets at midnight. Due dates automatically advance to the current period so the task always shows the next deadline.
Set a start time on recurring tasks to control when they reset. For example, a “Morning workout” task with a 5 AM start time resets at 5 AM instead of midnight — so completing it late at night still counts for the previous day.

Streaks

FocusMe tracks consecutive completions for recurring tasks, displayed as checkmarks on the task row.
  • Up to 7 checkmarks are shown on the row, then “+N” for longer streaks
  • Hover to see your current streak and personal best
  • Double-click the streak to view your full completion history
  • Streaks reset when you miss a period

Backdated Completions

Forgot to check off yesterday’s task? Right-click the checkbox and choose Mark complete for… to record a completion for a past date. This preserves your streak even if you forgot to mark it in the app.

Categories

Organise your tasks into colour-coded groups. Click the category badge on any task to quickly reassign it.
To manage categories, click the gear icon next to the category filter:
  • Create, rename, and delete categories
  • Choose from 12 colour options
  • Reorder categories with up/down arrows
  • Set a default category for new tasks
  • Deleting a category moves its tasks to the default category
Use the category dropdown in the filter bar to view tasks from a specific category.

Sorting

Two sorting modes, toggled in the filter bar:
  • Auto-sort — groups tasks by urgency: overdue first, then due today, then future, then no due date. Within each group, sorted by due date, recurrence, then priority
  • Manual sort — drag tasks to your preferred order. Disabled when auto-sort is on

Filtering

Control which tasks are visible using the filter bar:
FilterShows
Hide CompletedActive tasks only
Completed TodayActive tasks plus today’s completions
Show AllEverything except archived
Only CompletedJust completed tasks
The search bar filters by title and description in real-time.

Archiving

Bulk archive completed tasks via the menu (three dots, top right). Archived tasks are hidden from the main list but preserved for AI Coach reports. Toggle archived task visibility from the same menu.

Bulk Add

Click Bulk Add to create multiple tasks at once — one task per line. A quick way to set up a batch of related tasks.

Export and Import

From the menu (three dots, top right):
  • Export Tasks — saves all tasks to a JSON file
  • Import Tasks — loads tasks from a JSON file, skipping duplicates
Useful for backups or transferring tasks between devices.

Cloud Sync

Tasks sync across your devices when you’re logged in. The sync button in the task bar shows sync status. Changes sync automatically, but you can trigger a manual sync by clicking the button.

AI Coach Integration

Your AI Coach sees your tasks and uses them to give better recommendations. The coach can:
  • Suggest new tasks based on your activity patterns (e.g., “Review plan settings this Friday”)
  • Recommend priority changes or due date adjustments
  • Highlight task completions and streaks in reports
  • Flag overdue tasks in the Task Summary section
Suggested changes appear as one-tap actions in your AI Coach report — accept them directly without opening the task editor.
Your AI Coach gives better recommendations when it can see your tasks. Keep them up to date for the most relevant coaching.

Tips

  • Build habits with streaks. Create recurring tasks like “Morning workout” or “Read 10 minutes” and watch your streak grow. The visual streak is surprisingly motivating.
  • Use start times for reset control. A recurring task with a 5 AM start time resets at 5 AM, not midnight — useful if your day doesn’t start at 12:00.
  • Combine with plans. Create a “Deep work session” task alongside a Block plan. The task tracks your intention; the plan enforces it.
